We meet once a month, via MS Teams in the evening. Issue Agenda, take notes and organise the meeting is required, as is attending contact sessions monthly.

The role of the Secretary is to support the Chair and Birmingham Child Contact Centre (BCCC) to ensure that the Management Committee functions in a smooth and cohesive manner.

In summary, the Secretary is responsible for:

  1. Ensure meetings are effectively organised and minuted,
  2. Maintaining effective records and administration
  3. Upholding the legal requirements of governing documents, charity law, etc.,
  4. Communication and correspondence.

Given these responsibilities, the Secretary often acts as an information and reference point for the Chair and other committee members: clarifying past practice and decisions, confirming legal requirements and retrieving relevant documentation.

Detailed responsibilities are outlined below:

A. Ensuring meetings are effectively organised and minuted

  1. Liaising with the Chair to plan meetings
  2. Receiving agenda items from committee members
  3. Circulating agendas and reports
  4. Taking minutes (unless there is a minute’s secretary)
  5. Circulating approved minutes
  6. Checking that agreed actions are carried out.

To understand what happens and what can happen during our child contact sessions we do like our volunteers to attend once a month.

By helping children to meet with the parent they no longer live with, your legacy can endure not for days or weeks, but years.
