Detailed description

Purpose of the Role 

As an Outreach and Wellbeing Admin Support Volunteer, you will provide essential administrative support to the Adult Carers Outreach Team, helping to ensure that staff can focus more of their time on supporting carers across Solihull. 


You’ll take ownership of key administrative tasks such as organising venues, managing data, contacting families, and preparing resources. This role is ideal for someone who enjoys structured admin work, is organised, reliable, and confident working independently once trained (with ongoing guidance and support available). 


Your contribution will make a meaningful difference by freeing up the time of Outreach Workers, allowing them to reach and support more carers. 

 

Key Roles and Responsibilities 

  • Arrange room and venue bookings for group work, workshops, and events. 
  • Contact families to chase outstanding paperwork (e.g., GDPR consent forms). 
  • Enter and update information using our simple database and spreadsheets (e.g., digital reviews). 
  • Help source and confirm facilitators for group sessions or wellbeing events. 
  • Retrieve and update information from our internal database. 
  • Send bulk communications to families (e.g., text reminders and event notifications). 
  • Confirm that venues and participants are expecting outreach staff prior to visits. 
  • Order, replenish, and collate resources such as information packs, forms, or promotional materials. 
  • Support with general administrative duties as required. 
  • Undertake any other responsibilities as discussed and agreed with your supervisor. 

 

Preferred Skills and Qualities 

  • Minimum of two years’ administrative experience in a work or voluntary setting. 
  • Confident working independently, with supervision available when needed. 
  • Comfortable making phone calls and contacting carers or families. 
  • Proficient in Microsoft Word, Excel, and able to quickly learn new IT systems. 
  • Highly organised, efficient, and detail oriented. 
  • Reliable, conscientious, and able to manage time effectively. 
  • Strong written and verbal communication skills. 
  • A positive team player who supports a friendly and collaborative working environment. 
  • Passionate about helping deliver a high-quality service for carers.
