The Administrator plays a vital role in supporting the day-to-day operations of West Midlands Community Action. They ensure the organisation runs efficiently by providing high-quality administrative support to staff, volunteers, and service users.

Key responsibilities include:

  • Managing emails, telephone enquiries, and general correspondence.
  • Maintaining accurate records, databases, and filing systems.
  • Preparing letters, forms, reports, and other organisational documents.
  • Scheduling meetings, appointments, and community events.
  • Supporting volunteer recruitment, onboarding, and record keeping.
  • Assisting with grant administration and funding documentation.
  • Maintaining confidential records in line with GDPR and organisational policies.
  • Updating spreadsheets, monitoring information, and producing reports when required.
  • Ordering office supplies and ensuring resources are available.
  • Supporting the coordination of projects, activities, and community services.
  • Helping maintain the organisation's digital systems, calendars, and shared documents.
  • Providing excellent customer service to members of the public, partners, and stakeholders.
  • Assisting with the organisation of community events, training sessions, and outreach activities.
  • Ensuring all administrative processes are completed accurately, efficiently, and on time.

Skills and qualities

  • Excellent organisational and administrative skills.
  • Good written and verbal communication.
  • Confident using Microsoft Office and online systems.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality.
  • Friendly, professional, and approachable.
