The Volunteer Coordinator is responsible for the recruitment, onboarding, support, and retention of volunteers within the organisation.
Purpose of the Role
The Volunteer Coordinator is responsible for the recruitment, onboarding, support, and retention of volunteers within the organisation.
The role ensures volunteers are well-prepared, supported, and engaged, enabling them to contribute effectively to mentoring programmes and events.
Key Responsibilities
1. Volunteer Recruitment & Promotion
- Promote volunteer opportunities within the local community
- Act as the first point of contact for potential volunteers
- Oversee the volunteer recruitment and interview process
- Ensure a positive and accessible recruitment experience
2. Onboarding & Training
- Coordinate and support volunteer onboarding processes
- Deliver or arrange training sessions for new and existing volunteers
- Ensure volunteers understand their roles, responsibilities, and expectations
- Maintain and update training materials and resources
3. Volunteer Support & Engagement
- Act as the main point of contact for volunteer queries, concerns, and issues
- Provide ongoing support to ensure volunteers feel confident and valued
- Identify volunteers who may need additional support and ensure appropriate measures are in place
- Support resolution of concerns, including disciplinary matters where required
4. Scheduling & Coordination
- Support scheduling of volunteers where required, in collaboration with the Service Coordinator
- Ensure volunteers are informed of their roles, shifts, and responsibilities
- Communicate updates and changes clearly and in a timely manner
5. Retention & Development
- Promote volunteer engagement and long-term retention
- Support integration of volunteers into the organisation and team culture
- Identify talent and support development or progression opportunities
- Conduct volunteer feedback sessions and performance reviews
6. Policies & Documentation
- Develop and maintain volunteer policies, agreements, and handbooks
- Ensure volunteers are aware of organisational policies and expectations
- Keep documentation clear, accessible, and up to date
7. Data Management & KPI Tracking
- Maintain accurate and up-to-date volunteer records and data
- Track volunteer KPIs such as attendance, engagement, and performance
- Monitor trends and provide insights to support service improvement
8. Communication & Updates
- Ensure volunteers receive regular updates, resources, and key information
- Act as a communication link between volunteers and the wider organisation
- Support consistent messaging across teams
Time Commitment
- Average weekly hours: 2–4 hours
- Flexibility: Additional time may be required during recruitment drives or onboarding periods
Key Skills & Experience
- Strong communication and interpersonal skills
- Organisational and coordination abilities
- Experience in recruitment, HR, or volunteer management (desirable)
- Ability to manage sensitive situations and provide support
- Basic data management and record-keeping skills
